DataTranscribe is committed to protecting your privacy. This policy explains how we collect, use, and protect your information when you use datatranscribe.com and portal.datatranscribe.com.
1. Information We Collect
You provide directly
- Email address and hashed password on registration.
- Payment details processed by Stripe (we never store card numbers).
- Audio/video files you upload for transcription.
Collected automatically
- Log data: IP address, browser type, timestamps, HTTP status codes.
- Usage data: transcription job metadata (size, duration, status).
- Auth token stored in your browser's localStorage (no third-party ad cookies).
2. How We Use Your Information
- Authenticate your sessions and manage your account.
- Process transcription jobs and return results.
- Process payments and maintain your minute balance.
- Send transactional emails (confirmation, password reset, receipts).
- Send occasional product updates and promotional emails — you can unsubscribe anytime.
- Detect and prevent fraud and abuse.
- Improve the Service using aggregated, anonymised analytics.
We do not use your media or transcripts to train ML models. We do not sell your data.
3. Data Retention
- Uploaded media: deleted within 24 hours of transcription.
- Transcript text and metadata: 90 days then permanently deleted.
- Account data: retained until you request deletion.
- Payment records: as required by law (typically 7 years).
- Server logs: 30-day rotation.
4. Sharing Your Information
We share data only with service providers (Stripe for payments, cloud hosting, email delivery) under confidentiality agreements, and as required by law. We do not sell your data.
5. Security
- All data in transit encrypted via TLS (HTTPS).
- Passwords stored as salted hashes — never plaintext.
- Auth tokens are short-lived JWTs.
- Files stored in access-controlled cloud storage and deleted promptly.
6. Cookies & Tracking
We use localStorage for your auth session token only. No advertising cookies. No cross-site tracking. Clear localStorage in your browser settings to log out.
7. Your Rights
- Access: request a copy of your data.
- Correction: update info via Account Settings in the portal.
- Deletion: email — processed within 30 days.
- Portability: request your transcript history in a machine-readable format.
CCPA (California) and GDPR (EU/EEA) residents may have additional rights — contact us.
8. Children
The Service is not directed to children under 13. Contact us immediately if you believe we have collected information from a child.
9. International Transfers
Our servers are in the United States. By using the Service, you consent to your data being processed there.
10. Changes
Material changes will be notified 14 days before taking effect. The "Last updated" date above reflects the most recent revision.
